Format, move, and manage Workspace blocks

Use block actions and settings to adjust structure, metadata, captions, comments, movement, deletion, and recent recovery.

Each Workspace block can expose actions based on its type and your access level. Use these controls to keep a page organized without rebuilding content from scratch.

Open block actions

  1. Hover or select a block.
  2. Open the block actions menu.
  3. Choose the action you need, such as Block Settings, Duplicate, Move Up, Move Down, Turn Into, Color, Block metadata, Add caption, Comment, or Delete.

Change a block

Turn Into changes supported text-like blocks into another supported type. Use it when a paragraph should become a heading, a list, a quote, a callout, or a code block. Not every block supports this action.

Block Settings opens settings for the current block when that block has configurable options. On mobile, settings appear as a bottom drawer instead of a desktop panel.

Move or duplicate a block

  • Use Move Up and Move Down for small ordering changes.
  • Use drag and drop when reorganizing several blocks or moving content into columns.
  • Use Duplicate when you want a copy of the same structure before editing details.
  • For headings with collapsible sections, Drag section with heading can move the section content together with the heading.

Add metadata, captions, and comments

Block metadata can show metadata controls such as priority, reminders, reactions, mentions, or assignments where available. Add caption adds explanatory text to blocks that support captions. Comment starts a block-level conversation next to the content.

Delete and restore blocks

Use Delete to remove a block. If you delete multiple blocks at once, Workspace can show a Blocks deleted toast with the description {count} blocks were deleted. and a Restore action. Use Restore immediately if the deletion was accidental.

Restore is time-sensitive

Use the visible Restore action right away after a multi-block deletion. For planned backups, export important pages before large edits.

Keyboard shortcuts

  • Use Ctrl/Cmd+Z to undo recent edits when you have edit access.
  • Use Ctrl/Cmd+Shift+Z or Ctrl/Cmd+Y to redo.
  • Press Escape to clear a block selection.
  • Press Ctrl/Cmd+A once inside a block to select text; press it again soon after to select all blocks.

Common mistakes

  • Using Delete on a parent block without checking nested content.
  • Expecting every block to support Turn Into or Add caption.
  • Trying to edit block settings with Viewer access.
  • Leaving restored content unsynced before navigating away. Use Force Sync if needed.

FAQ

Can every block use Turn Into? No. Turn Into appears only for supported block types.

When does Restore appear? Workspace shows Restore after certain recent multi-block deletions.

Can viewers change block settings? No. Viewers can view and comment only.
