What is ReadyTools Workspace?

Understand what Workspace is, how pages and blocks work, and which features are available for writing, organizing, sharing, and publishing.

ReadyTools Workspace is a page-based workspace for notes, documents, tasks, embeds, comments, and public snapshots. Use it when you want a flexible page that can mix text, media, structured blocks, and collaboration in one place.

What Workspace is for

  • Writing internal notes, plans, specs, checklists, and handbooks.
  • Building pages from blocks such as Text, Heading 1, To-do List, Table, Board, Image, File, PDF Viewer, and Iframe.
  • Keeping feedback near the page with Comments and block comment threads.
  • Sharing a page with Viewer, Editor, or Admin access.
  • Publishing selected pages as a read-only Workspace Site or exporting one page as Markdown or PDF.

How Workspace is organized

The sidebar groups pages under Private and Shared. Private pages are for your own work unless you invite people to the page. Shared pages are visible to people who have workspace or page access. Pages can have sub-pages, so a page can become the root of a small project, guide, or handbook.

New pages start with the title placeholder Untitled. You can rename pages, create sub-pages, move pages with Move Page, copy a viewer invite with Copy viewer invite, or remove a page with Delete Page.

Collaboration and sharing

Use Share in the top navbar to invite people by Email address, from Friends, or with Create link. The role menu supports Viewer, Editor, and Admin where your permissions allow it. Viewers can view and comment only, Editors can edit and organize content, and Admins can manage users.

Limits to know

  • Free and Go shared spaces can save up to 1,000 blocks while shared with collaborators.
  • Plus and Max workspaces do not use that 1,000-block shared-space limit.
  • Personal Workspace guest limits are plan-based: Free and Go allow 1 guest, Plus allows 2 guests, and Max allows 3 guests.
  • Team workspaces use seats. Teams plans support 3 to 10 seats, and Business plans support 3 to 20 seats.

FAQ

Is Workspace the same as Vault? No. Workspace is for pages and blocks. Vault is file storage that can be reused by Workspace blocks such as Image, File, Video, and cover uploads.

Can other people edit my Workspace pages? Yes, if you give them Editor or Admin access. Viewer access allows viewing and commenting only.

Can I publish a Workspace page publicly? Yes. Open Share in the top navbar, switch to Publish, and publish a public read-only version. Publishing is different from inviting collaborators to edit a private page.
