Workspace sharing gives selected people access to a page. Use it for collaboration. Use the Publish tab instead when you want a public read-only version that anyone with the public link can read.
Before you share
- Make sure you are on the page you want to share.
- Confirm the page title is clear, because invite emails may include plain shared item details so recipients can identify the invitation.
- Check whether sub-pages should be visible to the invited person. A shared page can act as a root for its sub-pages.
- You need permission to invite people to the page.
Open Share
- Open the Workspace page.
- Select
Sharein the top navbar. - Use the
Sharetab in the small popover. On mobile, the same control opens a share sheet.
Choose a role
Use the role menu in the Share tab before sending an invite or creating a link. The available roles are Viewer, Editor, and, where your own role allows it, Admin.

Viewer | Reviewers, clients, or teammates who should view and comment without editing content. |
Editor | Collaborators who need to change blocks and page structure. |
Admin | Trusted managers who should also manage users. Admin invitation depends on your own role. |
Invite by email
- Open
Sharefrom the navbar. - Choose the role.
- Enter an address in
Email address. - Select
Sendor press Enter.
Invite friends
- Open
Sharefrom the navbar. - Find the
Friendssection. - Choose
Invitebeside the person.
Create an invite link
- Open
Sharefrom the navbar. - Choose the role.
- Select
Create link. - After the link is created, use
Copy link. - Use
Generate new linkif you need to replace the existing link.
Plan and access limits
- Personal Workspace guest limits are plan-based: Free and Go allow 1 guest, Plus allows 2 guests, and Max allows 3 guests.
- Team workspaces use active seats. Teams supports 3 to 10 seats, and Business supports 3 to 20 seats.
- If a limit is reached, remove unused access or change the plan before inviting more people.
- If you see a permission error, you may not be allowed to invite people to that page.

- Using
Editorwhen a person only needs to review. - Sharing a parent page without checking sub-pages underneath it.
- Opening the
Publishtab when you meant to invite collaborators. - Creating a link before checking the selected role.

Is sharing page-based or workspace-wide? The navbar Share popover shares the current page with the selected role. Use Manage Access to review who can access the page.
Can I invite someone with a link? Yes. Use Create link, then Copy link.
Why can I not invite more people? You may have reached the personal guest limit or team seat limit, or you may not have invite permission on the page.
