More control over how Workspace sites are shared

Workspace sites now support more than fully public publishing.

You can choose between three simple visibility options:

Public

Anyone can open the site, and search engines may include it in search results.

Unlisted

Anyone with the exact link can open the site, but it will not appear in search engines, public listings, or discovery features.

Access code

Visitors must enter a six-character access code before they can view the site.

Access codes are securely generated by the system using uppercase letters and numbers. Users cannot choose weak or predictable codes manually.

The generated code can be copied or downloaded when it is created. For security, it is shown only once and stored as a secure hash instead of readable text.

Site owners can generate a new code at any time, remove the protection, or switch the site back to Public or Unlisted visibility.

Protected content isn’t shared with visitors until the correct code is entered, and it won’t appear in page previews, metadata, search engines (unless it was previously public and picked up by bots—this is normal, so never share private documents publicly before making them private), or public site listings. It’s best to set it as private with an access code from the start.

Together, these options make it easier to share public documentation, private previews, client materials, internal notes, and other Workspace content with the right level of access.
