Publish a Workspace Site

Create a public read-only snapshot of a Workspace page with Workspace Sites.

Workspace Sites publishes selected Workspace pages as a read-only site. Use it for public handbooks, project briefs, documentation, or pages you want people to read without joining the workspace.

Publishing vs sharing

Public site warning

Check Visibility before publishing. Public sites may appear in search engines, Unlisted sites are hidden from search engines and public listings, and Access code sites ask visitors for a generated code.

Before you publish

  • Review the current page and any sub-pages you plan to include.
  • Wait until recent edits are saved before publishing.
  • Remove private notes that should not appear on the public site.
  • Confirm your role. Publishing can be unavailable if you do not have permission to publish the Space.

Open Publish

  1. Open the Workspace page.
  2. Select Share in the top navbar.
  3. Switch to the Publish tab.
  4. Review the Publish Space section.
  5. Enter or update Site name.
  6. Choose Visibility.
  7. Choose Published pages.
  8. Select Publish Space.

Choose Visibility

PublicAnyone can open the site, and search engines may index it.
UnlistedAnyone with the link can open it, but it is hidden from search engines and public listings.
Access codeVisitors must enter the generated access code before they can view the site.

Choose Published pages

Use Published pages to choose what appears in the public site. Choose Only this page for a single-page site. Choose This page and other pages to include additional pages from the Space. The current page stays included and is marked Current page.

Publish, update, or unpublish

  • Use Publish Space to create the public version.
  • Use Update published Space after editing the source page.
  • Use Copy public link to copy the public URL.
  • Use Open published Space to view the public site.
  • Use Unpublish in the Unpublish Space section to remove public access.

Use Appearance

After a Space is published, the Publish tab can show Appearance. Use it to open public site appearance controls for the existing site.

Limitations

  • Workspace Sites are read-only public versions, not live collaborative pages.
  • Publishing does not grant edit access. Use the Share tab for collaboration.
  • A newly published site depends on the page being saved before publishing.

Troubleshooting

  • If Publish is disabled, check your permission to publish the Space.
  • If saving fails, follow the message Could not save the current page before publishing. Try again after the document syncs.
  • If the link shows old content, open Share, switch to Publish, and use Update published Space.
  • If the site should no longer be visible, use Unpublish.

FAQ

Who can publish a Workspace Site? The Publish tab is available only when your access allows publishing.

Can I include sub-pages? Yes. Choose This page and other pages, then select the additional pages to include.

What does Access code visibility do? Visitors enter the generated access code before they can view the site.
