Create a kanban board in Workspace

Use the Board block to organize tasks and ideas into draggable groups with cards, dates, assignees, and priorities.

The Board block is for tasks, ideas, project stages, and lightweight kanban workflows. A new Board starts with the groups To do, In progress, and Done.

Add a Board block

  1. Click into an editable Workspace page.
  2. Type /board.
  3. Choose Board.
  4. Workspace inserts a Board with the default groups To do, In progress, and Done.

Rename the board

Click the board title field, labeled Board title, and enter a useful name such as Launch board, Content pipeline, or Bug triage.

Add groups and cards

  • Use Add group to add another column. New columns start as New group until renamed.
  • Use Add card inside a group to create a task or idea.
  • Drag cards between groups to change status.
  • Drag columns to reorder the workflow.
  • Use column actions to change Colors, collapse or expand a column, or choose Delete column.

Edit card details

Open a card to edit its title and details. Card fields include Status, Priority, Assignees, Start date, Due date, and the description placeholder Add a short description. Card actions include Duplicate, Delete, Create page, and Open page after a page is linked.

Use board tools

Use Show board tools to open the board search and metrics area. Search uses the placeholder Search cards, assignees, dates.... Metrics show total cards, plus urgent and overdue counts when they apply. Use Clear to reset a board search.

Change Board settings

  • Open Board settings.
  • Use Board width and Open wide for a wider board layout.
  • Use Card size with small, medium, or large.
  • Toggle Show descriptions, Show priorities, Show assignees, Show dates, and Color column backgrounds.
  • Use Urgent card automation to choose an automatic assignee for urgent cards, or choose No automatic assignee.

Limits

  • A Board supports up to 12 columns.
  • A Board supports up to 400 cards.
  • A card supports up to 20 assignees.
  • A card body supports up to 120 blocks.
  • A Board supports up to 3,000 blocks in its board tree.
  • Some blocks cannot be used inside a card, including another Board and Table of Contents.

Troubleshooting

  • If you cannot add cards or groups, check that you have edit access.
  • If a board says This board reached its current limit., remove unused cards or simplify card content.
  • If you try to delete the last column, Workspace keeps at least one column.
  • If deleting a Board block, read the Delete board? confirmation because boards can contain columns, cards, and card content.

Can a card become a page? Yes. Use Create page in the card drawer, then use Open page after the page is linked.
